ESL has worked on a number of technology projects to bring various ideas and visions to the proof of concept stage. These technology components can easily be integrated to ESL's other products to allow, for example, CTI integration and full content management from within EventMan and DocumentMan.

The DocumentMan service is run as a hosted solution, combining document image storage and online retrieval. DocumentMan can handle documents of all kinds and allows scan-on-demand with automatic or manual indexing, using optical character recognition (OCR) and zonal OCR as required. Documents can be retrieved quickly and easily over a secure Internet link, and can be opened through the user’s preferred viewer.

DocumentMan is built on EventMan technology, allowing each client to expose the EventMan functionality beneath as required through their own unique interface. EventMan’s workflow features allow documents to be tracked along pre-defined workflows and include full audit trails, archive histories and configurable procedures.

ESL has enhanced its EventMan™ and DocumentMan™ products to include integrated support for a number of hardware devices, such as smart cards, digital cameras, RFID chips, multi-function printers, 3D scanning devices and mobile phones.

Ricoh’s RDCi700 digital camera is supported and allows users in the field to take photos, annotate them with text and send them via a wireless link directly from the camera to DocumentMan or EventMan in order to trigger the creation of new work items, or to update and even sign-off and close existing work items.

Nokia’s 3650 mobile phone has a built-in digital VGA camera. ESL is currently integrating this model with its software, allowing the phone to be used to send images, video, SMS and multimedia messaging directly to EventMan and DocumentMan through a simple, friendly interface.

Hitachi’s new Blink Scan is a sophisticated 3D scanner, enabling users to make scans of three dimensional objects quickly and easily. The rostrum mounted camera can accommodate objects up to 297 x 216mm (base size) and 150mm in height, scanning at resolutions between 200 and 400dpi, up to 12 million pixels. This device is ideal for bound documents, 3D objects and the rapid scanning of documents and can be accessed directly from within EventMan and DocumentMan.

ESL’s DocumentMan is for companies with large amounts of data, who need a secure storage option with fast online retrieval of their information. Documents can be viewed quickly and easily from any PC in the world using a web browser interface across a secure Internet link.

DocumentMan can store documents and files of all kinds, from letters and memo’s through to legal contracts, in any quantity. Image sizes can range from A5 up to A0 and from black and white through to full colour.


>> Audit Trails and Reports

All document history is tracked automatically and is available through the document register as a life cycle, showing full details of user access, dates of access, creation information and archiving dates. An unlimited number of free text notes can be entered against each document and these can be viewed by all users. Records can also be archived to CD as part of the service.

Reporting is fully customisable and open ended through DocumentMan’s report plug-in, but a number of standard reports are included for billing summaries and document access by user and date.


>> Indexing Documents

DocumentMan supports multiple indexing and user definable data types. The system administrator can define whether captured data fields are searchable, and can edit these settings at any time.

Once scanned and indexed, the documents are stored according to document type, and users can search for documents on a customisable range of criteria, as well as through a full text search or date range. Indexing can be entered manually, or set up as an automatic process and templates can be created to suit each individual client’s indexing requirements.


>> Viewing Documents

Once a search has been requested, all relevant records will be returned for the user to browse through. Return numbers can be limited to ensure tighter searches, if required. By clicking on a returned document’s name, the file can be opened via the user’s preferred viewing tool (e.g. Adobe Acrobat Reader, TIFF viewer, etc.) for instant viewing alongside the indexing information. Images can be displayed side by side for easy visual matching.


>> Simple Access

As the system is accessed via the Internet, the use of DocumentMan will have a minimal impact on the customer’s desktop. Users are only required to have basic computing skills in order to work with DocumentMan’s intuitive interface and can be productively using the system in minutes. A searchable online help guide is provided within the application in PDF form and full training and technical support are available from ESL Services if required.
